Graduate School Tasks and Time Lines for IDP Doctoral Degree Students

 

1. Supervisory Committee:
Supervisory Committee form must be submitted by the end of the second semester with only 3 members but need 5 members by the time the candidacy form is turned in. Changes cannot be made to committee membership within 6 weeks of defense.

2. Program of Study:
Program of Study submitted must be submitted by the end of the 3rd semester and signed by the same number as on the committee form.

3. Comprehensive Exam:
Comprehensive exams are scheduled

4. Proposal Defense:
The department schedules the proposal defense. Candidacy form and signed copy of the proposal must be turned into the Graduate School at least 3 months prior to the final defense of dissertations.

5. Appointment for Examination:
Appointment for Examination form must be submitted to the Graduate School at least 10 working days prior to desired defense date.

6. Thesis & Dissertation Defense/Delivery of Graduation Paperwork:
Student must hold defense, then they are given the graduation forms which are in the defense packet.

7. Record of Examination:
Student must return signed Record of Examination form (purple) to Graduate School indicating exam results.

8. Graduation Forms and Fees:
Student pays diploma fee and submits graduation forms to Graduate School. These forms include: Graduation Fee Payment Form; Commencement Data Card; Alumni File Card; and Graduate Survey.

9. Thesis and Dissertation Completion:
Dissertation is signed by all committee members and turned into the Graduate School for review. This is a lengthy process. Anticipate several days and sometimes weeks for this process depending upon faculty availability and workload.

10. Thesis and Dissertation Review Process:
Student must allow 7 weeks from defense for binding (allows time for revisions, reading, approvals, signatures, copying, binding).

11. Binding Verification:
Binding receipt brought by the student to the Graduate School after dissertation is taken to Merrill-Cazier Library for binding.

12. Grace Semester and Late Fees:
All graduate students (except international students because of visa restrictions) have a “grace semester” after their defense to complete the process. A $100 late completion fee is assessed for each semester thereafter until the degree is posted.

13. Posting the Degree:
Once all grades are entered and all the paperwork is submitted the “degree conferred” date on the student’s transcript will typically be the day the binding receipt was signed. The date on the diploma will be the last day of the semester for all students.
